Reports to : Team Leader, Technical Advisors, Operations Manager, Head of Residential Conveyancing, Head of Company
Liaises with : Team Leaders, Technical Advisors, Operations Manager, Head of Residential Conveyancing, Head of department; together with team members, Accounts team, IT, Marketing and HR
Key task : To accept and handle tasks from Team Leader on Conveyancing files, including telephone assistance to clients, in order to maintain the quality and efficiency of legal services offered to our clients.

Residential Conveyancing – Legal Work
- To ensure your clients are given the best possible advice.
- To be responsible and deal efficiently and effectively with all clients and files for which you are responsible, ensuring case files meet the requirements of the CLC and the firm.
- To deal with all correspondence in a timely fashion, ensuring all files are supervised as required by the CLC and the firm.
- Where necessary obtain assistance and guidance from your Team Leader, Technical Advisors, Operations Manager or Head of Residential Conveyancing.
- To provide assistance to team members, where required.
Client Care
- To ensure all clients are offered the best levels of service.
- To obtain initial instructions from the client and ensure they are aware of the firm’s Code of Conduct for Client Care.
- To guide the client through all stages of the matter(s), ensuring they are fully appraised of the current situation and future actions, liaising with other professional bodies as required.
- To keep clients advised of the position in respect to their costs.
- To ensure clients are dealt with courteously and expeditiously, promoting a favourable image of the firm at all times.
- To be able to inform the client, either in person or on the telephone, of any progress on their file and to offer appropriate assistance.
- To accept messages received from clients, solicitors or any other professional body, not just on the file delegated for your primary attention, but also for department files generally.
- To ensure all messages are promptly relayed to the relevant person and recorded on the electronic file and in the case management history to which the message relates.
- To contribute to the effective answering of the telephone system for all clients of the department.
- To ensure copies of all outgoing correspondence are attached to the relevant electronic file in a neat, ordered and secure manner.
Case Management Procedures
- To run conveyancing procedures on the Case Management System in accordance with instructions delegated by your Team Leader, strictly under his/her supervision.
- To assist in the capture of information onto the Case Management System.
- To run post-completion procedures as required.
- To bring to the attention of the managers any matters which appear to require urgent attention.
- To maintain the electronic filing system in good order, closing files within reasonable time scales after completion to comply with documented CLC / firm procedures.
- To ensure the firm’s database is updated with post completion contact details.
Training
- To ensure you are properly equipped to fulfil the current and future requirements of your job description.
- To ensure training and development requirements are identified and actioned via your Performance and Development Review (‘PDR’).
- To maintain an awareness of changes in legislation, practice and procedure, ensuring such information is disseminated to your colleagues.
Business Development and Marketing
- To assist in the marketing and promotion of the conveyancing department, where required.
- To promote a favourable image of the firm at all times.
Teamwork
- To contribute to the firm generally, taking an active part in team meetings.
- To support and mentor less qualified fee earners.
General
- To comply with all Health and Safety requirements as set out via your induction and subsequent training.
